TERMS, CONDITIONS & POLICIES

These Terms & Conditions, Tent Rules, Liability & Risk Acknowledgement, and Privacy Policy apply to all bookings and stays at Riversand Glamping.
By making a booking or staying at Riversand Glamping, you agree to the terms set out below.
- DEFINITIONS
In these Terms and Conditions:
‘Booking’ means a confirmed reservation for a stay at Riversand Glamping made through the Website.
‘Check-in Date’ means the date on which the Guest’s stay is scheduled to commence, from 2:00 pm.
‘Check-out Date’ means the date on which the Guest’s stay is scheduled to end, by 10:00 am.
‘Guest’ means any person who makes a Booking or stays at Riversand Glamping.
‘Riversand Glamping’ means K Butcher & S L Butcher trading as Riversand Glamping (ABN 22 710 767 353).
‘Property’ means the glamping site, structures, facilities, and land at Riversand Glamping in Queensland.
‘Total Booking Amount’ means the total amount payable by the Guest for their stay, including any add-on services selected at the time of Booking.
‘Website’ means www.riversandglamping.com.au.
- BOOKING & PAYMENT
- All Bookings are made online through the Website. Guests must select their check-in and check-out dates, number of guests, and any applicable add-on services (including Paint & Sip, Romance Package, Deluxe Romance Package or any other package as advertised from time to time on the Website).
- Guests are required to provide their first and last name, email address, and phone number when making a Booking.
- Payment is processed securely through Stripe. Full payment of the Total Booking Amount. No booking is confirmed until payment is received.
- By completing a Booking, the Guest acknowledges and agrees to these Terms & Conditions.
- 3. DAMAGE, LOSS & ADDITIONAL CHARGES
3.1
Riversand Glamping does not require a security deposit. However, by confirming a booking, the Guest agrees to be responsible for any damage, loss, or additional cleaning required as a result of their stay.
3.2
Riversand Glamping will conduct a property inspection before and after each stay, including photographic records, to assess the condition of the accommodation.
3.3
Where damage, loss, or excessive cleaning is identified, Riversand Glamping reserves the right to issue an invoice for reasonable costs associated with:
(a) repair or replacement of damaged or missing items;
(b) professional cleaning costs for stains, spills, or excessive mess beyond standard turnaround preparation;
(c) linen replacement due to staining or damage; or
(d) any other costs associated with restoring the accommodation to its original condition.
3.4
Any invoice issued will include relevant details and, where available, supporting evidence such as photographs. Payment is required within 7 days of the invoice date.
3.5
Riversand Glamping will notify the Guest in writing of any damage or loss identified following their stay and will provide the Guest with 48 hours from the time of that notice to respond before the invoice is finalised.
3.6
Guests must report any damage or breakages as soon as practicable during their stay.
3.7
Failure to settle any outstanding invoice may result in further action to recover costs.
- CANCELLATION POLICY
- Cancellations made 14 days or more prior to the Check-in Date will receive a full refund of the Total Booking Amount.
- Cancellations made within 14 days of the Check-in Date but more than 48 hours prior to check-in will receive a full refund of the Total Booking Amount.
- Cancellations made within 48 hours of the Check-in Date will forfeit the full Total Booking Amount, unless the Booking is transferred to a later date, subject to availability.
- No refund will be given for early departure once a stay has commenced.
- No-shows will be charged the full Total Booking Amount.
- All cancellation requests must be submitted in writing to Riversand Glamping via email. The date and time the cancellation request is received by Riversand Glamping determines the applicable cancellation timeframe.
- If Riversand Glamping is required to cancel a confirmed Booking due to events beyond its reasonable control (including extreme weather, natural disaster, or government restrictions), Guests will receive a full refund of the Total Booking Amount and the Security Deposit. Riversand Glamping will notify the Guest as soon as reasonably practicable in the event of such cancellation.
- TENT RULES & CONDUCT
- Riversand Glamping is an adults-only, nature-based retreat. Guests under the age of 18 are not permitted at the Property.
- Check-in is from 2:00 pm on the Check-in Date. Check-out is by 10:00 am on the Check-out Date, unless otherwise agreed in writing by Riversand Glamping.
- Only the number of guests confirmed at the time of Booking are permitted on the Property. Additional visitors are not permitted without prior written approval from Riversand Glamping.
- Quiet hours apply between 10:00 pm and 6:00 am. Loud music, parties, or disruptive behaviour during quiet hours are not permitted.
- Open fires are not permitted on the Property. Guests may use the fire barrel provided at the Property strictly in accordance with the Fire Barrel Safety Instructions provided at check-in and the conditions set out in the Liability & Risk Acknowledgement clause of these Terms & Conditions. The fire barrel must not be used during a declared Total Fire Ban or in conditions of high wind.
- Smoking and vaping are not permitted inside or within 5 metres of the tent or any accommodation structure. Smoking is permitted outdoors only. Cigarette butts and vaping waste must be disposed of safely and responsibly.
- Pets are not permitted at the Property due to biosecurity requirements. Registered support animals are permitted where required by law and must be disclosed to Riversand Glamping at the time of Booking.
- Guests must treat all accommodation, furnishings, and the surrounding property with care and respect.
On departure, the tent and surrounding area must be left in a reasonable condition, including:
- all furnishings, bedding, décor, and equipment returned to their original position and condition;
- no stains, damage, breakages, or missing items;
- rubbish placed in designated bins;
- kitchenware, utensils, and equipment left clean and tidy; and
- no excessive mess requiring additional cleaning beyond standard turnaround preparation.
- Normal wear and tear is expected. However, Guests are responsible for any damage, loss, breakage, or additional cleaning required as a result of misuse, negligence, or failure to follow these Tent Rules.
- Riversand Glamping reserves the right to terminate a Guest’s stay immediately and without refund where the Guest engages in unsafe, illegal, disruptive, or behaviour that is harassing, threatening, or otherwise inconsistent with the nature of the retreat.
- LIABILITY & RISK ACKNOWLEDGEMENT
- Guests acknowledge that staying at Riversand Glamping involves inherent risks associated with outdoor and rural environments, including uneven ground, insects, wildlife, weather conditions, water features, and outdoor facilities. Guests voluntarily assume all such risks during their stay.
- Guests are responsible for their own safety and wellbeing and must follow all safety signage and instructions provided at the Property.
- All facilities, the tent, and outdoor areas are used at the Guest’s own discretion. While Riversand Glamping takes reasonable care to provide a safe and enjoyable environment, to the maximum extent permitted by law, Riversand Glamping is not responsible for injury, loss, or damage to personal property that may occur during a Guest’s stay.
- Guests are responsible for assessing their own physical capability to stay in a rural environment. A first aid kit is accessible to all Guests. Riversand Glamping does not provide medical services.
- Guests accept responsibility for their own actions and for any damage caused by themselves including by their registered support animal.
- Riversand Glamping is not responsible for damage to, loss of, or theft from Guest vehicles while parked on or accessing the Property.
- Riversand Glamping is not liable for any failure to perform its obligations due to events beyond its reasonable control, including extreme weather events, natural disasters, government restrictions, or emergency situations.
- Guests acknowledge that access to the Property may involve rural or unsealed roads and are responsible for ensuring their vehicle is suitable for access conditions.
- To the maximum extent permitted by law, Riversand Glamping’s liability to a Guest for any loss, damage, or injury is limited to the Total Booking Amount paid by that Guest.
- Fire Barrel — Risk Acknowledgement and Guest Responsibility. A fire barrel is provided at the Property for Guest use. Use of the fire barrel is entirely at the Guest’s own risk. Guests acknowledge and agree to the following conditions of use:
- The fire barrel must not be used on any day on which a Total Fire Ban is declared in the relevant area. Guests are responsible for checking current fire ban status at www.qfes.qld.gov.au before lighting the fire barrel. Use of the fire barrel during a Total Fire Ban is strictly prohibited and may constitute a criminal offence under Queensland law.
- The fire barrel must not be used in windy conditions. Guests must assess weather and environmental conditions before use and must not light or continue to use the fire barrel where conditions pose a fire spread risk.
- Guests must read and comply with the Fire Barrel Safety Instructions provided at the Property before lighting the fire barrel. These instructions form part of the conditions of use of this facility.
- Only firewood provided or approved by Riversand Glamping may be used in the fire barrel. Accelerants (including petrol, lighter fluid, or similar substances) must not be used under any circumstances. Rubbish, foreign materials, or prohibited items must not be burned.
- The fire barrel must be supervised at all times while alight. It must never be left unattended. The surrounding area must be clear of flammable materials prior to lighting. A water source, fire extinguisher and fire blanket are provided at the Property and must be located by Guests before lighting the fire barrel.
- (f) Guests must fully extinguish the fire before leaving the area or retiring for the evening. The fire barrel must be doused with water until no heat or embers remain, and the lid must be placed on the barrel once extinguished. Guests must not leave the site until the fire is completely out.
- In the event of a fire emergency, Guests must call 000 immediately, use the water, fire extinguisher or fire blanket only if it is safe to do so, move to a safe area, and contact the hosts.
- Guests are fully responsible for any loss, damage, injury, or liability arising from their use of the fire barrel, including damage to the Property, surrounding properities and vegetation, or structures, and any injury to themselves or other persons. To the maximum extent permitted by law, Riversand Glamping accepts no liability for any loss, injury, or damage arising from Guest use of the fire barrel. Any damage to the Property or neighbouring properities caused by improper or unsafe use of the fire barrel will be recoverable from the Guest,.
- SURVEILLANCE & SECURITY
- Riversand Glamping may operate security camera(s) at the entrance to the Property (including at the cattle grid) for the purposes of monitoring vehicle access and ensuring compliance with the guest number and visitor policies set out in these Terms & Conditions.
- Any surveillance conducted will be limited to entry and access points and will not capture private accommodation areas.
- By making a Booking, Guests consent to the collection of vehicle access data by security camera at the Property entrance. This information will be handled in accordance with the Privacy Policy set out in clause 8.
- Security camera footage will be retained only as long as reasonably necessary and will not be disclosed to third parties except where required by law or for the purposes of investigating a breach of these Terms & Conditions.
- PRIVACY POLICY
- Riversand Glamping is committed to protecting Guests’ personal information and handling it in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
- Riversand Glamping may collect personal information including name, contact details, booking information, and payment details for the purpose of managing bookings, providing services, communicating with Guests, and meeting legal obligations.
- Personal information is collected directly from Guests when they make a Booking, submit an enquiry, or contact Riversand Glamping.
- Riversand Glamping does not sell or rent personal information. Information may be shared with third-party service providers, such as payment processors (including Stripe) or booking platforms, where required to provide Riversand Glamping’s services, or as required by law.
- Riversand Glamping takes reasonable steps to protect personal information from misuse, loss, unauthorised access, modification, or disclosure.
- Guests may request access to or correction of their personal information by contacting Riversand Glamping via the Website.
- The Website may use cookies to improve functionality. Cookies do not identify Guests personally and can be disabled through browser settings.
- Security camera footage collected at the Property entrance is managed in accordance with clause 7 and will be handled consistently with Riversand Glamping’s obligations under applicable privacy legislation.
- MARKETING CONSENT
- Guests consent to the use of non-identifiable images of the Property taken during their stay for Riversand Glamping’s marketing and promotional purposes, unless the Guest advises otherwise in writing prior to or during their stay.
- AUSTRALIAN CONSUMER LAW
- Nothing in these Terms & Conditions excludes, restricts, or modifies any rights or guarantees available to Guests under the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010 (Cth)) or any other applicable legislation that cannot be excluded by agreement.
- Where the Australian Consumer Law implies guarantees into a supply of services that cannot be excluded, Riversand Glamping’s liability for a failure to comply with such a guarantee is limited (to the extent permitted by law) to the resupply of the services or the cost of having the services supplied again.
- GOVERNING LAW
- These Terms & Conditions are governed by the laws of Queensland, Australia. Any disputes arising under or in connection with these Terms & Conditions are subject to the exclusive jurisdiction of the courts of Queensland.
